Questions dealers actually ask

Straight answers about how AgroPOS works in a real shop — what happens without internet, what an inspector can be shown, and what becomes of your data if the computer dies.

Does AgroPOS work without internet?

Yes. Billing, inventory, ledgers and reports all run on your own PC and need no connection. Internet is used only three times: to activate the licence once, to upload cloud backups, and to download updates. If the connection drops, the shop keeps running.

How does batch and expiry tracking work?

Stock is stored per batch, not just per product. Each batch keeps its own batch number, expiry date, pack size, purchase rate and supplier. When you sell, the software takes stock from the earliest-expiring batch first, so older goods move before they expire. You can also pick a specific batch or pack size at the counter when a customer asks for one.

Can it print the registers the Agriculture Department asks for?

Yes. Inspector Mode prints seven registers for any date range: stock register, batch-wise stock register, expiry report, sales register, purchase register, company-wise stock report and daily sales report. Your shop letterhead and dealer licence number appear on each one.

What happens to my data if the computer is lost or formatted?

AgroPOS backs itself up automatically, and to two places. Every 10 minutes it checks whether anything has changed; when it has, it writes a backup file on your own PC first and then uploads an encrypted copy to the cloud — both, never one without the other. Closing the software backs up again whatever the timer says, so the day's work is off the machine before you lock the shop. If the internet is down when a backup is due, the local copy is still written and the cloud copy goes up when the line returns. A lost or formatted computer therefore costs you the machine, not your records: install AgroPOS on a new PC, restore, and the stock, ledgers and invoices are where you left them. Cloud backup is included with every licence and is free for the first year, then Rs 5,000 a year to keep uploading; local backup is unconditional and costs nothing.

Do I need a special printer?

No. AgroPOS prints through the normal Windows printer system, so any printer that Windows can already use will work. You can print an 80 mm thermal receipt or a full A4 invoice, save the invoice as a PDF, or share it to WhatsApp from inside the app.

Can I use a barcode scanner?

Yes. Any standard USB keyboard-wedge barcode scanner works with no driver or setup. Store a barcode against a product, then scan into the barcode field on the billing screen and the item is added to the cart.

How do customer credit and recovery work?

Each customer has a running balance and an optional credit limit. The till warns you before a sale would push a customer past their limit. Recovery Management lists everyone with a pending balance along with their full history, and when you record a payment it is settled against the oldest unpaid invoices first.

Does AgroPOS show profit and loss?

Yes. Reports opens on a profit and loss statement for any period you choose: sales, less returns, less what the goods actually cost you, less your shop expenses broken down by category, and the net profit at the bottom with its margin as a percentage of sales. The cost used is the rate each batch was bought at rather than today's rate, so last season's profit does not change when a new delivery arrives at a different price. There is also a profit-by-product view, which ranks lines by what they earn rather than by turnover. If a sold item has no purchase rate recorded, the statement warns you that the real profit is lower instead of quietly counting that sale as profit.

Can I keep my bank accounts in AgroPOS?

Yes. You can add as many bank accounts as the shop uses, with the bank name, account title, account number and the balance the account holds today, then record money in and money out. Every entry shows the balance the account stood at after it, so the list reads like a bank statement, and any account can print a PDF statement for a period or for its whole history. Entries can be dated back and the balances above and below correct themselves. Bank accounts are kept deliberately separate from sales and purchases: nothing else in AgroPOS writes to them, so the figures stay yours to match against the real bank.

Can more than one person use it?

Yes. You can create separate accounts with the roles Admin, Cashier and Store Manager, so each person signs in with their own username instead of sharing one login. User management is available to Admin accounts.

How do updates reach my shop?

AgroPOS checks for new versions on its own. An update is verified against a SHA-256 checksum, downloaded quietly in the background, and installed when you accept the restart prompt. Your database, invoices and settings are preserved across updates.

A customer owes 51,000 but wants to settle at 50,000. Can I close the khata?

Yes. Take the 50,000 in Recovery and tick "Settle the account". The khata closes at zero, and the forgiven 1,000 is recorded as a Write-off expense against that customer by name. That matters: the sale already counted the full 51,000 as revenue on the day it was billed, so without the expense your books would keep reporting profit you never earned. The write-off shows as its own line in the profit statement, and the receipt the customer takes away says the account is settled rather than claiming 1,000 is still due. Admin only — a cashier taking payments cannot forgive a balance.

Can I record when a customer says they will pay?

Yes, at the counter, while the udhaar is being given. On a Credit or Partial sale you can set a payment date — Tomorrow, 1 week, or any date you pick. It is optional, so leave it blank when no date was named. The customer then appears on the Recovery Dates list on the day: green while the date still stands, red once it has passed. A date that passes with nothing paid costs a point off their credit score, but part payment on the day keeps the promise.

A farmer wants 10 Kg, not a full bag. Can AgroPOS bill that?

Yes. Switch parchoon on in Settings and picking a bag of khaad asks whether you are selling a full bag or by the Kg. Type ten and the bill, the receipt and the customer's khata all say 10 Kg. It is charged at that product's own per-kilo parchoon rate, which is normally higher than the bag rate divided down — the software never quietly charges the bag rate instead. If only twenty kilos are lying open and the farmer wants thirty, it tells you a bag will be opened and then opens it. Your stock always reads "19 bags + 30 Kg", never a fraction of a bag, and the option only appears on products that come in a Kg bag, so spray and seed are untouched.

Can I see my shop on my phone?

Yes. AgroPOS Mobile is a free Android app included with your licence. It shows your customers and their khata, the recovery list, suppliers, shops and stock, and it can send any customer their account statement as a PDF over WhatsApp while you are standing in front of them. It is read-only — the phone shows the figures but can never change them, so every sale is still billed at the counter. Connecting is one QR scan from Settings > Mobile App on the PC: no account, no email and no password. Up to three phones per licence, and the app needs Android 7.0 or newer.

Can I move the software to a different computer?

Yes. Contact Innobrains for a machine transfer. Once we approve it, you activate with the same licence key on the new PC, and you can restore your data there from a cloud backup.

About the company

Who makes AgroPOS?

AgroPOS is made by Innobrains Technologies, a Pakistani software company founded in 2022 in Jhang, Punjab, by Arshad Ali. We write the software ourselves rather than reselling someone else's product under a new name.

Is AgroPOS a Pakistani product?

Yes. It is written in Pakistan, for Pakistani agriculture-input dealers: customers stored with father's name and village, prices in rupees, maund and bag units, Urdu product names, udhaar and recovery in the core, and the Agriculture Department inspection registers.

How long has AgroPOS existed?

The first public release was in August 2026, and it has been updated more than twenty times since. Innobrains Technologies has been operating since 2022.

What does AgroPOS cost, and are there monthly fees?

Rs 30,000 one time for a single counter. AgroPOS Multi-Counter, where two or three tills in one shop bill at once off one stock file over your own LAN, is Rs 50,000 for two counters and Rs 70,000 for three, with each further counter Rs 20,000. All one-time, with no monthly bill. Cloud backup is included for the first year and Rs 5,000 per year after that. If you do not renew it the software keeps working — only online backup stops.

What kind of shop is AgroPOS for?

Agriculture-input dealers in Pakistan: pesticide and dawai shops, khaad and fertiliser dealers, seed dealers, and the mixed zarai markaz that sells all three. It is not a general retail POS.

How is AgroPOS different from ordinary billing software?

Stock is held per batch with its own expiry rather than one quantity per product; expired batches are blocked at the till; credit and recovery are core features; and it prints the seven Agriculture Department registers an inspector asks for.

Can I try AgroPOS before paying?

Yes. The 14-day trial is the complete software with nothing switched off, one per computer per edition, and needs no card or payment details.

Who do I reach if something breaks?

The people who wrote the code. Support is on WhatsApp and phone at +92-315-7500264, Monday to Saturday, 10:00 am to 6:00 pm PKT.

How quickly can I start billing, and is it fast at the counter?

Installing takes a couple of minutes on any Windows 10 or 11 PC. Most shops are billing the same day. The part that takes real time is your product list, and we do that with you rather than leaving it to you: setup and training are included with every licence, and we enter your products, your customers and their opening balances for you, in Urdu, over WhatsApp or the phone with someone looking at your screen. At the counter a sale is a search, a quantity and a confirm, with the receipt printing on its own if you want it to. Search accepts a brand name, a company, a barcode or the technical name of the chemical, so you are not scrolling a list to find what the farmer asked for.

Do updates install by themselves?

Yes. AgroPOS checks for new versions on its own and installs them in the background; you carry on billing and restart when it tells you. There is nothing to download, no file to run and no charge for updates — new features and fixes are included for the life of the licence, not sold as a new version. If the shop is offline the update simply waits for the next time you have a connection.

Can I import my products and customers from Excel?

Yes. AgroPOS imports products, customers and suppliers from an Excel (.xlsx) file, and there is a ready-made template for each with the right columns and an example row. Nothing is written until you have seen what will happen: AgroPOS reads the file, then shows you how many rows are new, which records you already have, and which rows cannot be used and why. For anything that already exists you choose row by row whether to leave it alone or update it. Updating changes the details only — an import never moves a customer's udhaar balance, a supplier's payable or a product's stock. Opening quantity on a new product becomes real sellable stock with its own batch and expiry. Column order does not matter, so a stock report exported from AgroPOS can be edited in Excel and imported back. If you would rather not do it at all, we still enter your list for you as part of the included setup.
