How Kashif Nadeem & Co. put a busy pesticide shop on one system

Sales, stock, farmers’ udhaar, what the shop owed to companies, expiry dates. At Kashif Nadeem & Co. all of it had become hard to manage. Another dealer pointed them to us. This is what we set up, what we changed for them, and what they say about it now.

The shop

A dealership in Pir Mahal that sells two ways

Kashif Nadeem & Co. is a pesticide dealership in Pir Mahal, in Toba Tek Singh district. Farmers buy at the counter, on cash and on udhaar. Other shops buy from it in trade, at trade rates.

That second kind of customer is what makes a shop like this harder to run than it looks. Two price lists, two kinds of account, and more people who can collect goods on a shop’s name. A program built for a corner store does not know the difference.

The problem

Six records, one counter

A pesticide counter is never only a till. Every bill moves stock. Every udhaar sale adds to a farmer’s khata. Every delivery from a company adds to what the shop owes. Every carton has a date on it. And at the end of the month someone has to say what the month actually made.

Faheem Anjum names the same six in his review. Keeping them in step, by the day, is what had become hard work.

  • BillingCash, udhaar or part payment; a receipt or an A4 invoice.
  • InventoryStock by batch, so each lot keeps its own rate and date.
  • Customer creditEach farmer’s khata, with the balance after every entry.
  • Supplier accountsWhat the shop owes each company, and what it has paid.
  • Product expiryThe oldest batch sells first. An expired one cannot be billed.
  • Business reportsSales, stock, recovery and profit, for a day or a season.

AgroPOS

One system on the shop’s PC. It bills with or without internet.

What we did

From a recommendation to V2, in five steps

  1. 01

    Another dealer sent them

Kashif Nadeem & Co. did not find AgroPOS through an advert. Naveed Anjum Irshad, who runs Naveed Zarai Markaz and already bills on AgroPOS, told them about it. In this trade that is how software usually gets chosen: one dealer asks another what they use, and the answer counts for more than anything a software company says about itself.

  2. 02

Set up at the shop, for the shop

Our team did the setup. We installed AgroPOS, set it up for the way this shop works, and showed the people at the counter how a day runs on it: billing, taking payments, entering a purchase, checking what is in stock and what is about to expire. Faheem Anjum mentions it in his review: installation, guidance and support.

  3. 03

Wholesale, built around how they trade

Selling to another shop is not the same as selling to a farmer. The rate is different, the bill goes to a business rather than to whoever came to collect the goods, and the account runs longer. We customised the wholesale module for Kashif Nadeem & Co. so their trade sales run the way they already did business.

    • A trade rate on each product, next to the farmer’s cash and credit price
    • Shops listed apart from farmers at the till, so nobody gets the wrong rate
    • The shop’s trading name on the bill, the collector recorded separately
    • Each shop’s own khata: every bill, payment and return, with the balance after each
Choosing who an AgroPOS wholesale bill is for: the Shops tab with each shop's area, phone and khata due or advance, and a Suppliers tab
Bill to: each shop with what it owes.
  4. 04

Accounts that read like their own books

We customised the accounts side as well: how customer credit, what is owed to companies and the shop’s own accounts are kept and reported, so the figures read the way the shop wanted to read them, not the way a generic program lays them out.

AgroPOS Shop Khata of Al-Madina Traders: sold to them and outstanding, with every wholesale bill, payment and return and the balance after each, and Receive, Pay, Edit, Print and Excel
Shop Khata: what a shop owes, entry by entry.

    On AgroPOS V2 today

When AgroPOS V2 came out, our team installed it at Kashif Nadeem & Co. ourselves, one of the first shops to move. The shop’s records moved with it.

We have been using AgroPOS at Kashif nadeem & Co., and it has made managing our pesticide business much easier. Billing, inventory, customer credit, supplier accounts, product expiry and business reports are now organised within one system. AgroPOS is simple to use and developed according to the practical needs of pesticide dealers. The Innobrains Technologies team also provided excellent installation, guidance and support. We are fully satisfied with AgroPOS and highly recommend it to other agricultural products dealers.

If you run a shop like this

Three things worth copying

Ask a dealer who uses it

Kashif Nadeem & Co. heard about AgroPOS from Naveed Zarai Markaz, not from us. Another dealer will tell you what the brochure leaves out.

Say how you actually sell

Retail only, or retail and trade? One counter or three? The software should fit the shop. For this shop that meant customising wholesale and the accounts.

Ask who sets it up

Good software set up badly is still a bad week at the counter. Ask who will install it, who trains the counter, and who answers when you call.

Want this at your counter?

Tell us how your shop sells, and we will show you AgroPOS on your own products. Wholesale is included in every edition.
